Define the lifecycle before the automation
A CRM cannot automate ambiguity. Define what each stage means, the evidence required to enter it, who owns the record, the next expected action, and when a record should leave the active pipeline.
Automate time-sensitive handoffs
Lead acknowledgement, owner assignment, task creation, meeting preparation, outcome capture, proposal follow-up, and stale-opportunity alerts are repeatable moments where automation protects revenue.
Use AI for interpretation
AI is useful when the workflow depends on understanding notes, messages, intent, risk, or context. Deterministic rules should still control permissions, required fields, and high-impact state changes.
Start with the constraint. Define the finish line. Then decide where AI belongs.
